  • Manage billing processes, including generating invoices, tracking payments, and liaising with clients and the accounting team to ensure accurate and timely billing.
  • Coordinate complex travel arrangements for attorneys and staff, including flights, accommodations, transportation, and visa arrangements, while ensuring cost-effectiveness and adherence to firm policies.
  • Assist with expense tracking and reimbursement for travel-related expenses, ensuring compliance with firm guidelines and procedures.
  • Maintain calendars, schedule meetings, and coordinate conference calls for attorneys and clients across different time zones, demonstrating excellent organizational skills and attention to detail.
  • Prepare and edit legal documents, correspondence, and presentations, maintaining confidentiality and accuracy.
  • Provide general administrative support, including handling incoming calls and emails, managing office supplies, and organizing files and documents.
  • Collaborate with other executive assistants and professionals within the firm to ensure seamless coordination and support across various departments.
skills & experiences required.
  • Previous experience as an executive assistant or legal secretary in a law firm or professional services environment is highly preferred.
  • Strong knowledge of billing processes and familiarity with legal billing software.
  • Proven ability to handle complex travel arrangements, including international travel, while managing multiple priorities.
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with clients, attorneys, and staff at all levels.
  • Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) and experience with billing software or practice management systems.
  • Exceptional organizational skills, attention to detail, and the ability to prioritize tasks effectively in a fast-paced environment.
  • Discretion and confidentiality in handling sensitive information.
  • Ability to work independently, take initiative, and anticipate needs to ensure smooth operations.
