- Create documents, presentations, and spreadsheets using Microsoft Suite.
- Perform general administrative tasks such as proofreading, copying, scanning, and filing.
- Manage incoming messages from emails and other messaging services.
- Assist a diverse client group with various administrative tasks.
- Handle confidential data, make bookings, and prepare materials for events/meetings.
- Maintain internal systems, manage data, and handle office supplies.
- Support matter management and billing processes.
- Prepare correspondence and reports, update clients on fees.
- Administer expenses and invoices for clients.
- Continuously develop skills and attend training.
- Suggest process improvements and seek support when needed.
- Collate marketing materials for social media publication.
- Assist in managing social media accounts/webpage for local publicity.
- Excellent English language skills, both verbal and written. Proficiency in Mandarin is advantageous.
- Minimum of 2 years of secretarial experience in a law firm or professional services firm.
- Proficient in MS Office applications with strong document formatting skills and overall IT literacy.
- Highly committed with a proactive, can-do attitude, going the extra mile to support team success.
- Strong communication skills and ability to anticipate executive needs, being a valuable team player.
- Attention to detail is a must. Organized and capable of managing multiple projects simultaneously.
- Willingness to work flexible hours, including evenings and weekends based on clients' time zones.
- Immediate availability for work is advantageous.
- Marketing experience preferred but not required.
