Job Description:West Island School (WIS) is looking for a Facilities Assistant on a full-time basis. This is a permanent full-time position with Medical Coverage and MPF benefits.Role Summary
  • To assist the Facilities Manager and to ensure resources are utilized effectively and efficiently according to ESF Governance.
  • Responsible for external and internal hiring requests, which includes coordination of set up, tear down, and post-booking on-site inspections
  • To proactively identify repair needs and contact relevant contractors and follow through until the repair is completed
Operations:
  • To coordinate and manage all bookings of the school (both internal and external) and the associated site arrangements. To ensure all paperwork required for bookings is valid and in date and to ensure all the bookings do not clash. After each booking, to ensure the venues are back to daily operational standard
  • To keep a record of all booking invoices and keep close track of payment status and make sure the Finance Department and Facilities Manager are informed of any issues
  • To prepare monthly booking schedule and share it with relevant parties
  • To work closely with the grounds staff team which includes security guards, caretakers, cleaners, gardeners, lifeguards and outside contractors
  • To support the Facilities Manager as and when required, and act as backup in the absence
  • To conduct regular site walks and identify possible health and safety hazards and to discuss solutions with Facilities Manager
  • To ensure that the environment of the school is conducive to teaching and learning (e.g. all classrooms are adequately resourced, clean, well maintained and free from clutter); to be proactive in checking all classrooms and facilities on a regular basis. Also, to make sure all classrooms and facilities are equipped with evacuation maps and lock down checklists.
  • To act as the secondary contact for all matters relating to the school's site and facilities
  • To ensure adequate stock levels of supplies are held for general operations e.g. cleaning supplies and to ensure resources are utilized in a cost-effective and efficient manner.
  • To coordinate site arrangements for all approved school or non-school events on-site
  • To manage and file all documents and records relating to facilities management of the school (PO, works orders, quotations, certificates, license etc)
  • To create signs and car parking labels
Development:
  • To explore energy-saving opportunities for school utilities
  • Perform other duties and assume accountabilities as apparent or as delegated, including mutually agreed-upon objectives
In situations where you have to be contacted during non-office hours, compensation in the form of "Time in Lieu"(TIL) will be provided.REPORTING TO: Facilities ManagerQualifications & Experience
  • Secondary Education.
  • 2 years relevant experience in facilities and administration.
Abilities & Knowledge
  • Ability to follow instructions and established standards
  • Fluency in oral and written Cantonese & English
  • Excellent interpersonal, communication & Organizational skills
  • Ability to work well under time constraints, pressure, and repeated tasks
  • Ability to solve problems and to work independently
  • Ability to follow up on issues proactively
  • Ability to firmly negotiate with contractors and external guests while maintaining a healthy relationship
  • Good PC skills especially with Excel
  • A friendly manner in relation to staff and students is essential
