  • Prepare correspondence, reports and etc. by typing up drafts from superiors, filling data, information into standard documents or new formats as prescribed by the superiors.
  • File correspondence, documents, reports, etc. according to established filing systems.
  • Handle tenants and others’ enquiries by explaining relevant policies and procedures, referring to factual information such as charges for repairs, recording relevant information for superiors to follow up or, for emergency and complicated cases, referring the case to officers / superiors.
  • Handle tenants’ complaints or requests on minor repairs by recording relevant information, determining and telling the complainant/ requestor the tentative maintenance/ repairs arrangement.
  • Provide administrative support to maintenance and repairs matters by arranging appointments with tenants and estate staff, collecting repairs charges / rent / management fee, etc. according to debit notes, issuing receipts, maintaining records of job tickets issued / completed and calculating the lead time of job orders.
  • Ensure availability of sundries, e.g. equipment and stationery, in estate office by stock taking regularly and preparing necessary order documents for superior’s approval.
  • Check for completeness and accuracy of job order forms filled in by manual staff.
  • Perform other clerical duties, such as photocopying, maintaining records, registering incoming and outgoing mails, issue receipts, mark invoices as assigned by superiors.
  • Handle fees, petty cash, management fee, repair charges and rent payment accurately.
  • Input tenancy related record and etc.
The Person
  • 5 passes in HKCEE including English and Chinese
  • At least 4 years’ clerical or customer services experience with at least 2 years in customer services industries.
  • Some knowledge of the operation and commonly used terms of estate management related industry.
  • PC skills e.g. PowerPoint, Excel & MS Word, Chinese Word Processing and etc.
  • Good typing skills
  • Good communication, co-ordination and interpersonal skills
  • Mature, service oriented, good telephone manner and a team player
  • Attentive to details, systematic and willing to follow through tasks independently
  • With confidence and able to communicate/ handle enquiries from different customers and /or stakeholders.
