- Tracking of medical service provider compliance with contract terms
- Support during RFP and contract renewal.
- Verification of billing and payment of medical service providers.
- Act as coordinator for AOD Random Testing
- Support arrangements for random testing.
- Initial verification of all testing records in role of MRO assistant and follow up on testing errors.
- AOD Specimen shipping
- Inventory control of AOD testing materials
- Administration support: organise training / meetings for relevant parties / department; prepare training material and presentation document; processing the payment to services providers / vendors; monitoring and verifying the cost and expenditure
- Ensure and keep track of all the test results and reports to OHS / Head of OH
- Maintain accurate, up to date and complete records of all AOD related testing in the company
- Assign and maintain roster for Occupational Health related training
- Coordination of In-house First Aider programme
- Responsible for arranging speakers and course room booking, enrolment of participants and collection of any relevant course fees.
- Prepare and conduct the cost budget
- Coordinate payment of suppliers, monitor cost and budget
- Prepare training and promotional materials
- Track, input and manage overall departmental budget/forecast.
- Tracking of line items which are out of predicted spending with detailed explanation of higher than expected costs.
- Verifying invoices from medical services providers and other vendors
- Verifying the medical payment with relevant departments; allocating and identifying the payment with other departments
- Preparing the annual budget and quarterly forecasting information; gathering and organizing financial information; monitoring expenditures; identifying variance; implementing corrective actions
- Responsible for recharging of medical shortfalls including coordination of medical loans
- Process medical shortfall deductions/amendments, co-pay and medical loans in HR system.
- Work with GMD OH team to identify areas of improvement
- Participate in analysing, tracking and monitoring medical expenses through medical scorecard & reports.
- Help identify new initiatives that help improve medical service and save medical costs.
- Act as project manager by working with both internal & external parties / stakeholders to deliver results on initiatives that the company decides to pursue.
- Provide support for planning and negotiation process with key CX medical suppliers to manager the cost of medical services for CX group.
- Establish long term working relationships with medical service suppliers, e.g. CX’s Third Party Administrator, to identify areas of improvement for delivery of medical services to CX.
- Prepare, arrange and coordinate the quarterly SC meetings and stakeholder communication meetings.
- Tertiary education or equivalent qualification.
- Minimum 3 years' medical-related administration experiences.
- Understanding of Alcohol and Drug testing and related procedure
- Excellent command of spoken and written English. Spoken and written Chinese (Cantonese and/or Putonghua) is an advantage, but not a must.
- High level of attention to details and problem solving skills
- Strong self-motivation for continuous learning and improvement
- Polished interpersonal and communication skills with the ability to interact in a multicultural environment.
- Sound problem solving, planning and organization skills.
- Able to independently manage and prioritize multiple tasks within defined time constraints.
- High proficiency in MS office suites is essential.
