Job Duties
  • Deliver full support for front desk operations.
  • Greet and register clients and guests, coordinate with building security, and offer refreshments.
  • Oversee meeting room bookings, assist with video conferencing setups, and manage workspace reservations for visitors.
  • Handle and direct incoming phone calls.
  • Perform general office tasks such as restocking pantry supplies, maintaining coffee machines, and setting up/cleaning meeting rooms.
  • Ensure the reception area and meeting rooms are always tidy and presentable.
  • Uphold office security by following safety protocols and managing access.
  • Support mailroom operations.
  • Assist the Office Manager and administrative team with special assignments.
  • Provide additional administrative help to the Office Manager as needed
Requirements
  • High school diploma or equivalent.
  • 2-3 years of relevant experience in office or guest services, preferably in financial services.
  • Proficient in English (reading/writing), Cantonese (reading/writing), and conversational Mandarin.
  • Skilled in Microsoft Office tools including Outlook, Excel, PowerPoint, and Teams.
  • Strong organizational skills and ability to multitask with attention to detail.
  • Comfortable interacting with employees and guests at all levels while maintaining discretion.
  • Self-motivated and proactive, with a willingness to exceed expectations.
