- Manage all aspects of office operations, including facilities, supplies, vendors, and service providers.
- Be the go-to person for internal coordination and external communications, ensuring a professional and efficient office environment.
- Support HR processes such as onboarding, offboarding, and maintaining employee records.
- Assist with finance-related tasks including invoice tracking, expense reporting, and liaising with external accountants.
- Coordinate travel, meetings, and events for the team and visiting stakeholders.
- Implement and refine administrative systems and processes to support a growing team.
- Oversee IT and office equipment needs in collaboration with external vendors.
- Support compliance and documentation processes as needed.
- Provide executive support to senior leadership, including calendar and task management.
- Help foster a collaborative, high-energy culture that reflects the firm's entrepreneurial spirit.
- 3+ years of experience in office management, operations, or executive support-ideally in a startup or financial services environment.
- Highly organized, detail-oriented, and able to juggle multiple priorities with ease.
- Strong interpersonal and communication skills, with a proactive and can-do attitude.
- Comfortable in a fast-moving, high-growth environment where no two days are the same.
- Tech-savvy and confident using tools like Microsoft 365, Google Workspace, and expense platforms.
- Fluent in English; Cantonese or Mandarin is a plus.
