We are looking for a highly motivated individual to join our Program team.GENERAL SUMMARY: The primary responsibility of this role is to offer a wide range of student services, and academic and administrative support to the Sokolov Executive MBA Program in Asia. The Program Manager will work with the Student Life and Program Operations team to ensure students' high satisfaction with their learning experience, support student academic and logistics needs, and course materials ordering, organize/manage special events/projects for students, and maintain proper student records.PRINCIPAL DUTIES AND RESPONSIBILITIES:Sokolov Executive MBA Program Administration:Coordinate logistics leading to and during class weeks. Plan for materials photocopying and distribution, setting up rooms, lockers, and student directoryDistribute communications and handouts to student mailboxes as necessaryManage TA and student visa application process - liaison between Chicago office and local law firm with TA and student visa mattersManage TA logistics, proctoring assignments, and producing TA information lettersWork with Operations team on class weeks logistics, IT, planningAcademic Administration:Process course material orders, inventory, production, and distribution each quarter. Work with the Faculty Services team based in ChicagoOversee course evaluation for FacultyCreate, and manage all AXP and electives weeks' course evaluations for Teaching AssistantsCreate and monitor class lists, study group lists, email distribution mailing listsCreate quarterly class schedulesStudent Services:Main contact for student questions related to campus activities, services, events, and logisticsIssue various official documents upon student requestAssist with graduation and closing ceremony logistics and administrationCreate, maintain, and update the Student Program Information online platformsSpecial Events/Projects:Work with the Student Life and Program Operations Team, plan and execute, and collaborate on special eventsAssists with Hong Kong campus special events logistics and setup, as neededProvide support to Booth visitors, overseas colleagues, and faculty, including logistics and meeting arrangementsMEASUREMENTS OF SUCCESS:Demonstrate a high level of administrative competenceStudents' satisfaction rating reflected in student and faculty surveysEffectiveness of administrative support and database managementSuccessful on-time completion of scheduled events and special projectsMeet project deadlines and targetsOverall rate of efficiency, accuracy, timeliness, and organization of all assigned tasksREPORTING RELATIONSHIPS:Reports to Director - Sokolov Executive MBA Program, AsiaDirect Reports - NoneKNOWLEDGE, SKILLS, AND EXPERIENCE:Bachelor's degree/Diploma in business, hospitality, or logistics, or equivalent requiredA minimum of 3 - 5 years of substantive and relevant work experience with progressive responsibility required. Experience in higher education, training, or the hospitality industry, preferably in a multicultural environment is preferred.The ability to learn new tasks quickly is required.Experience in one or more of the following areas of principal duties required: customer service, procurement, logistics and event management, project management, administration.Excellent interpersonal and organizational skills, initiative, and attention to detail required.Proven ability to work efficiently with minimal direction and to anticipate issues and problems required.Excellent oral and written communication skills in English, Cantonese, and preferably Mandarin required.Collaborative work style, highly organized with strong analytical and multi-tasking skills, independent and resourceful, able to meet deadlines in a fast-paced environment required.High proficiency with Microsoft Office (especially Excel, Word, PPT) and Adobe required.Must be able to work legally in Hong Kong permanently.SALARY AND BENEFITSThe salary will be competitive and commensurate with experience.
