Executive Assistant (at the rank of Library Assistant) in the University Libraries (Ref.: 533057)We are looking for Executive Assistant to join the University Libraries to provide quality service for Outreach and Engagement and Learning & Research Services Divisions.The RoleReporting to the Assistant Librarian (Outreach and Engagement)/Arts and Music Librarian, the successful candidate will focus on the management of the University Libraries events, work collaboratively with other divisions and fulfil the responsibilities as follows:Key Responsibilities:· Work with all divisions across the University Libraries in delivering key functions to promote its image and services;· Provide support services for the planning and preparation of the events;· Provide onsite support in organising and coordinating the events and library workshops;· Create key visuals and maintain webpages for the events and promotional materials;· Support the University Libraries' gift and merchandise programmes;· Handle enquiries via various communication channels;· Develop e-learning objects and maintain library guides;· Explore emerging tools for information literacy; and· Perform other duties as assigned by the University Libraries.Working outside normal office hours will be required.Qualifications and QualitiesApplicants should possess a recognized university degree or a diploma in librarianship or a related discipline. They should have a dynamic and outgoing personality and excellent interpersonal skills; a good command of spoken and written English and Chinese (proficiency in Putonghua is a plus); computer literacy with basic knowledge of common software and equipment, such as MS Office, scanners and printers; strong customer service, problem-solving and time management skills; and be self-motivated and attentive to details. The ability to work both independently and collaboratively is essential. Solid work experience in fundraising support, corporate communication or event management is required. Proficiency in social media channel management (e.g. Instagram and Facebook) would be an advantage.What We OfferThe appointment will be made on fixed-term full-time contract for 2 years, to commence as soon as possible with the possibility of renewal subject to satisfactory performance. A highly competitive salary commensurate with qualifications and experience will be offered, together with contract-end gratuity and University contribution to a retirement benefits scheme at 10% of basic salary.
