- Lead the end-to-end planning of events from concept to post-event evaluation, ensuring alignment with institutional goals.
- Manage physical, hybrid, and virtual events, adapting formats to suit audience needs and engagement objectives.
- Oversee venue sourcing, vendor negotiations, catering, AV setup, permits, and guest registration systems.
- Develop event timelines, run sheets, and checklists to ensure smooth execution and contingency preparedness.
- Collaborate with internal departments (marketing, admissions, academic teams, alumni relations) to align event objectives.
- Act as the primary liaison for external partners, sponsors, vendors, and VIP guests.
- Work with the marketing team to develop integrated promotional campaigns across social media, email, print, and web.
- Create and manage event content, including invitations, programs, signage, and post-event communications.
- Ensure consistent brand messaging and visual identity across all event materials.
- Develop and manage event budgets, ensuring cost-effectiveness and alignment with financial guidelines.
- Prepare post-event reports, including feedback analysis and recommendations for future improvements.
- Ensure all events comply with institutional policies, health and safety regulations, and local legal requirements.
- Develop risk assessments, emergency protocols, and insurance coverage where applicable.
- Maintain accurate records of contracts, permits, and vendor agreements.
- Bachelor's degree in Event Management, Marketing, Communications, or a related field.
- 5 years of experience in event or project management, preferably in the education, non-profit, or public sector.
- Fluency in English, Cantonese and Mandarin
- Proven ability to manage multiple projects simultaneously under tight deadlines.
- Proven project management skills
- Excellent written and verbal communication skills in English and Cantonese; Mandarin is a plus.
- Familiarity with CRM systems (e.g., Salesforce, HubSpot) and digital marketing tools (e.g., Mailchimp, Meta Ads Manager) is advantageous.
- Passion for education, student engagement, and community building.
- Creative thinker with a strong eye for detail, design, and user experience.
- Comfortable working in fast-paced, cross-functional environments.
- Experience working with international schools, universities, or education expos is highly desirable.
- Ability to work evenings or weekends occasionally for event coverage.
