
Administration Executive, Executive Office

- Coordinate meetings chaired by the CEO's Executive Office- scheduling, agenda consolidation, minutes taking, event coordination, logistics and technical support.
- Act as shared resource to assist broader Executive Office team with administrative duties (e.g., calendar management, travel management, expense claims, document delivery, organizing major event organization such as town-halls and CEO Fireside chats)
- Support the Executive Office in budget coordination and management
- Handle any other projects as may be assigned from time to time.
- University graduate in Business Administration or any relevant disciplines.
- Minimum 3 years of secretarial/administrative experience, preferably in sizable multinational companies, serving senior executive/c-suite positions.
- Good command of both written and spoken English, Cantonese, and Mandarin.
- Well organized, self-motivated, and a good team player.
- Strong sense of responsibility and detail oriented.
- Ability to work independently with minimal direction.
- Strong interpersonal skills with ability to communicate effectively with internal and external stakeholders.
- Ability to multitask and prioritize tasks, demonstrating excellent time management skills.
- Ability to cope with a fast-paced working environment with composure and agility
- Confident in the role of a “gatekeeper” by handling ad-hoc tasks, proactively communicating changes, and responding to scheduling conflicts.
- Proficient in Microsoft Office 365 - Word, Excel, PowerPoint, Outlook, SharePoint, Teams.
