The Assistant Business Operations Manager will oversee Order Management functions within the Company Direct Source Apparel Business. This role involves managing order delivery and fulfillment performance, reviewing, and resolving vendor operational errors, and ensuring system data integrity. The manager will provide guidance and support to vendors and teammates, ensuring their understanding and compliance with company processes.Responsibilities:Order Management:
  • Supervise the outbound Order Management team daily, ensuring adherence to company operational rules.
  • Analyze tracker data and lead meetings to address outstanding or past due orders with vendors.
  • Manage system data related to order delays, improvements, quantity discrepancies, and customer delivery requests, maintaining data integrity.
  • Guide vendors in following the correct order processing procedures from end to end.
  • Participate in optimizing and executing the Order Management process.
  • Provide advice on 3PL logistics operations.
  • Communicate closely with QA to understand final inspection status and verify cargo readiness.
Vendor Operations Management:
  • Monitor daily vendor operations performance.
  • Regularly review vendor operational errors and performance KPI.
  • Resolve problematic cases and respond to vendor inquiries related to operational processes and SOPs.
  • Log vendor non-compliance cases and initiate chargebacks if necessary.
  • Monitor factories for required Corrective Action Plans for problematic cases.
  • Support the Manager in providing guidance to new apparel suppliers.
  • Conduct factory visits to provide guidance to vendors as needed.
  • Handle shipping-related claims and credits within the payment system.
  • Serve as an Order Change Approver.
  • Monitor factory operations performance and enforce Company policy according to the PO Management Manual daily.
  • Report factory non-compliance cases to the manager.
Qualifications:
  • Bachelor’s degree in Business Administration or equivalent.
  • 5 years of experience in order processing or customer service, including direct people management responsibilities.
  • Exceptional attention to detail and a high degree of accuracy.
  • Strong customer focus with excellent written and verbal communication skills.
  • Proven ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment.
  • Proficient in MS Office applications.
  • Fluent in English and Chinese.
  • Familiarity with ERP systems (e.g. Microsoft Dynamics 365, SAP) would be an advantage.
  • Occasional travel is required.
