
Transfer Agency Shareholder Services Senior Representative

- Monitor and address all inquiries (received via email boxes or phone lines) within agreed internal and external timelines or Service Level Agreements.
- Proper utilization of all internal systems and applications to facilitate query management, follow ups, internal coordination and external communication
- Ensure any outstanding or pending matters will be closely addressed and escalate promptly whereas necessary
- Close coordination with internal parties (including various local and global functional teams) to facilitate issues resolution (such as payments, receipts, commission, AML/KYC, reporting etc.)
- Handling and preparation of investors’ or clients’ reporting, mailings in a timely and accurate manner
- Demonstrate client servicing mindset and ability to provide quality and meaningful support to clients and investors
- Proactiveness in responding to client’s and investor’s inquiries (such as account opening or static data update request, trade status or instruction related matters, issues or escalations etc.)
- Take ownership to collaborate with internal departments to prioritize client or investor requests, deliverables and to facilitate issues resolution
- Maintain strong knowledge of BBH TA products, systems & applications and internal workflows
- Develop deep knowledge and understanding of clients’ business needs and assist in identifying opportunities to enhance overall client experience and service quality
- Preparation of internal reporting (such as KPIs, management reports, checklists / procedure updates etc.)
- Participation in client meetings including preparation of presentation materials
- Remain knowledgeable of changing industry initiatives, regional and global market practices (attend presentations, work sessions & personal effort)
- Ensure proper escalation in a timely manner and follow through client/investor related issues or concerns to resolutions by working closely with Supervisors, Team Leaders, Manager and global teams
- Ensure good understanding and appropriate application of the provisions or specifications as outlined per Funds’ Prospectus, Client Operating Guide and Service Level Documents etc.
- Close adherence to all enterprise and departmental levels’ policies and procedures
- Effective identification or potential issue or error, escalate and preparation of E&O reporting whereas needed
- BA/MS degree and/or equivalent work experience
- Minimum of 2-3 years of Transfer Agency or financial industry related experience
- Strong communication, articulation, and interpersonal skills (both verbal and written)
- Willingness and ability to collaborate and contribute to a global team environment
- Adaptative and possess strong problem-solving skills
- Attention to detail and ability to multitask and work effectively under pressure
- Good knowledge of standard Office applications (Word, Excel and PowerPoint)
- Knowledge or prior experience in AML/KYC is an advantage
- Fluent in Japanese and English (Cantonese/Mandarin language skills are preferred)
- Willingness to provide work coverage during Hong Kong public holidays
