- Preferred 2-3 years relevant experience in an operations or a liaison and administrative role, fresh grads are also welcome.
- A fluent knowledge in written and spoken English and Chinese (Cantonese required, Putonghua is a definite advantage)
- Hands-on experience using Microsoft Office (Word, Excel, PowerPoint), Google Apps (Document, Sheets, Slides, Analytics, Gmail, Forms), Jotform, HTML and Email editing tools
- Strong organisational skills, being able to work effectively and diligently with internal and external parties
- Cross-team collaboration and networking initiatives
- Ability to learn new software and programmes
- Experience of working in an administrative role within the education sector is a plus
- Excellent interpersonal skills providing effective communication and negotiation skills
- Self-motivated, detail-oriented with a positive attitude, quick-thinker, having a strong sense of responsibility, ethics, integrity and ownership
- Able to work independently and as a good team player
- Able to multi-task and work on several projects at the same time
- Willing to work out of hours and beyond schedule when necessary
- Prepare and record all internal communications related to school-wide events following the brand guidelines
- Liaise with media partners and monitor marketing activities
- Coordinate materials, feature articles and/or interviews for media partners
- Lead and manage the logistics of school events
- Organize and plan for the yearly school calendar
- Manage and support the Summer Programme, from developing new relationships to monitoring the quality of the existing ones
- Liaise with Campus Head and Facilities Manager on facilities rental
- Organize the schedule and logistics of School events and work in collaboration with the School Founders, faculty leaders and facilities manager on the programme details as well as assisting on logistics and marketing plan
- Support in the organization of several Marketing and Fundraising events throughout the year
- Administer, set up, implement and attend agreed exhibitions and events in order to promote IMS
- Coordinate the internal school communications through the Engage Portal System and liaise with different campus and event champions to ensure school notice emails are prepared in advance and ready to go out in a timely manner according to the School Communications schedule
- Manage the Google forms, Jotform, Mailchimp, Surverymonkey and Regonline accounts
- Perform other duties as assigned
