To manage a portfolio of companies incorporated in various offshore jurisdictions and to provide corporate administrative services for the companies in the portfolio in a timely and efficient manner.Main Responsibilities
- To arrange incorporation of offshore companies in various offshore jurisdictions and to attend all incidental matters relating to incorporation and organization of companies
- To conduct due diligence on clients and on clients companies whether for purpose of incorporation or otherwise
- To liaise with relevant offshore offices with regards to incorporation, statutory filings, billings, and all incidental matters relating to corporate administration of the offshore companies concerned;
- To keep and maintain the statutory records and registers of the Company in ViewPoint/NavOne updated and completed;
- To ensure records and documents of each company in the portfolio kept and filed in DMS are updated and complete;
- To keep and maintain records of the client contacts, billings parties, and correspondence addresses updated in our systems;
- To attend clients instructions and inquiries and carry out the instructions of clients and provide the requisite corporate administration and general professional services, as the case may be;
- To attend payment of annual government fees and all incidental matters in relation thereto;
- To review pre-bills, determine the amount to be billed, issue invoices, and ensure the level of aged WIP less than 30% at all relevant times;
- To ensure annual fees and annual government fees are accurately recorded in ViewPoint/NavOne and AdEx, review annual invoices issued by other offshore offices and liaise with other offshore offices regarding the issue of annual invoices or revise invoices, where applicable;
- To follow up with clients for payment of annual fees and service fees and to keep the level of aged account receivable less than 30% at all relevant times;
- To supervise and train corporate administrative assistants and other junior staff
- To participate in the promotion of an atmosphere of cooperation, teamwork, and support within the team;
- To attend any other specific duties as may be assigned;
- To assist the Manager and Assistant Manager in handling and managing the portfolio of the team;
- And any other such duties that might be reasonably required for this role.
- Two to four years post qualification experience.
- Excellent command of written and spoken English and Chinese, fluency in Putonghua is an asset.
- Capable to work independently with minimum supervision.
- Good team players, self-motivated, well organized and able to work under pressure, and willing to take responsibility.
- Knowledge in using ViewPoint, AdEx, NavOne, Excel and Chinese Word is an asset.
- Adherence to all human resources policies and practices.
